Job Title: Account & Procurement Executive (Focus: Regulatory Affairs & Operational Support)

Position Overview

We are seeking a detail-oriented, bilingual (English & Arabic) professional to safeguard our supply chain compliance and manage day-to-day brand operations. Your primary responsibility is to lead the product registration process with the Qatar Ministry of Public Health (MoPH), ensuring all items are approved for import. Additionally, you will take over brand accounts after the initial onboarding phase, managing replenishment orders, shipping documentation, and operational communication.

Key Requirements & Responsibilities

Regulatory Affairs & Compliance

  • Lead the end-to-end registration of all food and supplement SKUs in the MoPH electronic system (or relevant municipal portals).
  • Meticulously review product formulations, ingredient lists, and nutritional facts before any order is placed to ensure compliance with Qatar regulations (e.g., checking for prohibited additives, alcohol content, or non-halal ingredients).
  • Advise brands on mandatory labeling requirements (e.g., expiration dates, Arabic labeling) and coordinate the creation of compliant Arabic sticky labels.
  • Gather, review, and archive technical documents from suppliers (Halal certificates, GMP, Free Sale Certificates, Lab Analysis reports).

Account Coordination & Procurement

  • Serve as the operational point of contact for brands after the commercial agreement has been signed by management.
  • Monitor inventory levels and raise Purchase Orders (POs) for restocks based on sales data.
  • Review shipping drafts (Invoices, Packing Lists, Certificates of Origin) to ensure they match Qatar Customs requirements exactly before the shipment leaves the origin country.
  • Maintain daily communication with brand logistics teams to track shipment status, resolve shipping errors, and ensure timely delivery.

Required Qualifications & Experience

  • Education: Bachelor’s degree in Business, Supply Chain, Food Science, or a related field.
  • Experience: 2–4 years of experience in Regulatory Affairs, Logistics Coordination, or Procurement roles within Qatar.
  • Language:
  • Native/Fluent Arabic is mandatory (for reading MoPH circulars, using government portals, and translating labels).
  • Fluent English is required for international supplier communication.

Preferred Background

  • Experience working with Odoo is a distinct advantage (specifically for Inventory and Purchase modules).
  • Deep understanding of MoPH food/supplement regulations and the import clearance process.
  • Proficiency in Excel for tracking registration status and stock levels.

Personality & Working Style

  • Ability to track the registration status of hundreds of SKUs simultaneously.
  • Can spot a single incorrect digit on an invoice or a banned ingredient in a long list.
  • Enjoys creating and following strict workflows to ensure compliance.
